How to Apply for a Birth Certificate in Kenya Online with eCitizen

eCitizen was introduced in 2014, and it allows users to access a variety of services, including birth certificate applications. Only Nairobi residents can apply for birth certificates online at the moment. There are plans to introduce more regions.

Creating an Account

The form is generated using data from the Integrated Population Registration Service, and one must register an account on eCitizen using their ID card number.
When creating an account, you must also provide a valid email address. The email or ID, along with a password, will be used to log in.

The email address will also be used to reset a password. A registered phone number will also be provided.

After logging in, you can submit an application to the Civil Registration Department for a Birth Certificate.

You can apply for certificates in the categories of Child Current, Adult Current, and Late Registration.

All applications must be submitted through the parent’s account, which will be linked to the phone number in the event of a mobile money transfer payment.

1. Current Birth Certificate of the Child

This application is for births for which a hospital notification was given. For candidates under the age of 18, it must be filed through the parent/guardian account.

It must also be submitted within 30 days of the child’s birthday.

Requirements:

  1. a scanned copy of the birth announcement
  2. For applicants over the age of 18, a scanned copy of their national ID is required.
  3. a scanned copy of the parent’s identification
  4. A scanned copy of the original birth certificate is required for replacements.

Charges: Ksh180

Steps 

An online form is filled and relevant documents in PDF format submitted. The form contains two options, whether one is applying for a new certificate or a replacement.

Proceed to choose new birth certificate and approve that the child was born in a health facility. If you had applied earlier online, you can be allowed to amend the child’s name, to remove spelling mistakes or add an extra name, but only for children below 2 years. 

For new applications, one has to decline the amendment option and acknowledge that the child is under 18 years then proceed to fill County of Birth, Hospital of Birth and Birth Notification Number. A scanned PDF copy of the Birth Notification will be also be attached.

The child’s name and gender will be filled in three times. Unless one parent is a single parent, both parents’ names and ID numbers, as well as scanned copies of their IDs, will be uploaded.

The certificate will then be picked up from one of the alternatives provided. Huduma Makadara, ACK Bishop House, Huduma Centres at GPO, City Square, Makadara, Eastleigh, and Kibera are all options in Nairobi. When the certificate is ready to be picked up, it will be notified through SMS.

Payment

Mpesa, Debit/Credit/Prepaid Card, Airtel Money, and Pesalink are all options.

For Mpesa:

  • Go to M-PESA on your phone
  • Select Pay Bill option
  • Enter Business no. 206206
  • Enter Account no. use provided code
  • Enter the Amount. KES 180
  • Enter your M-PESA PIN and Send
  • You will receive a confirmation SMS from M-PESA

Airtel Money:

  • Go to Airtel Money on your phone
  • Select Pay Bill option
  • Select Other
  • Enter Business Name. 206206
  • Enter the Amount Ksh. KES 180
  • Enter your Airtel Money PIN and Send
  • Enter Account no. use provided code
  • You will receive a confirmation SMS from Airtel Money

To replace a birth certificate, follow these steps:

The procedure is the same, except only a scanned copy of the original birth certificate is required.

2. Current Adult Birth Certificate

This application is for births that occurred within the last six months and were registered by a Chief or in a hospital.

Requirements

  • a scanned copy of the birth announcement
  • a scanned copy of the parents’ identification

Charges: Ksh 180

The same method is followed when applying for a child’s current birth certificate.

Certificates of Late Registration

This application must be completed after receiving a permission form from ACK Bishop’s Gate Offices’ Civil Registration Services, which will be scanned and uploaded online.

This application is for births that were registered by a Chief or at a hospital after 6 months. For candidates under the age of 18, it must be filed through the parent/guardian account.

Requirements

  • a scanned copy of the birth announcement
  • a scanned copy of the parent’s identification
  • A scanned copy of the original birth certificate is required for replacements.

Charges: Ksh 200

Procedure: The identical procedure as before is followed to the letter.

Original National ID Cards will be attached to the applications of minors above the age of 18 in all three categories.
